Responsibilities:
  • Validate, index, and upload patient medical records into the electronic health record system, ensuring 100% accuracy and compliance with HIPAA and state privacy regulations.

  • Perform nightly or daytime batch processing of record queues, meeting defined turnaround times to support clinical workflow efficiency.

  • Conduct regular audits of record completeness and data quality, generating reports that identify gaps and drive corrective actions.

  • Coordinate with clinical staff, billing departments, and external providers to resolve record discrepancies and facilitate timely information exchange.

  • Maintain secure storage and proper disposal of physical documents in accordance with retention policies and regulatory requirements.

  • Assist in the implementation of process improvements and automation initiatives to enhance record management productivity and reduce error rates.


  • Requirements:
  • 2+ years of experience in health information management, medical records processing, or a related administrative role within a healthcare setting.

  • Proficiency with electronic health record (EHR) platforms such as Epic, Cerner, or similar systems.

  • Strong knowledge of HIPAA, HITECH, and state-specific health information privacy regulations.

  • Excellent attention to detail and ability to maintain high data accuracy under tight deadlines.

  • Effective communication skills for interacting with clinical and administrative teams remotely.

  • Associate’s degree in Health Information Management or related field; certification (RHIT or RHIA) preferred.
